Terms of Service

1. The Service

Proofly is an AI-powered receipt scanning and expense-tracking tool. It captures receipts, extracts their details using AI, organizes them by category and company, and helps you export tax-ready records.

Proofly is a productivity tool, not a provider of tax, accounting, legal, or financial advice. You are responsible for the accuracy of your records and for your own filings.

2. Your account

You must provide accurate information, keep your credentials secure, and be responsible for activity under your account. You must be at least 16 years old to use the Service. One account is for one person; do not share credentials.

3. Subscriptions and billing

Proofly offers paid plans: Pro at $9.99/month or $59.99/year, and Business at $149.99/year (which includes up to 5 team members). Each plan starts with a 3-day free trial.

Subscriptions are sold and billed through the Apple App Store or Google Play (via RevenueCat). Unless cancelled at least 24 hours before the trial or current period ends, subscriptions automatically renew at the then-current price. You manage or cancel your subscription in your app store account settings. Refunds are handled according to the applicable app store’s policies.

4. Your content and data

You own your receipts and the data you add. You grant us a limited license to store and process that content solely to provide the Service to you (for example, to extract receipt details and generate exports). We do not use your receipts to train third-party AI models. See our Privacy Policy for details.

5. AI output

Proofly uses AI to read receipts. AI extraction is highly capable but not perfect and may occasionally contain errors. You should review extracted data before relying on it — especially for tax or accounting purposes. Tax-related features (such as Tax Pocket estimates and Schedule C mapping) are estimates and general information, not tax advice or filed figures.

6. Teams and shared companies

On the Business plan, an account owner can invite up to 5 members to a shared company. The owner is responsible for who they invite. Members can add and view receipts within shared companies, with attribution of who added each one. Owners can manage membership.

7. Acceptable use

You agree not to:

• Use the Service unlawfully or to store or process content you have no right to.
• Attempt to breach, probe, or circumvent the Service’s security or access controls.
• Reverse engineer, resell, or abuse the Service, or interfere with its operation.

8. Third-party services

The Service relies on third parties (including Google Firebase and Gemini, RevenueCat, and the app stores). Your use of those services may also be subject to their terms. We are not responsible for third-party services.

9. Intellectual property

The Proofly name, app, website, and software are owned by us and protected by law. These Terms do not grant you any rights to our trademarks or software beyond using the Service as intended.

10. Disclaimers and limitation of liability

The Service is provided "as is" and "as available", without warranties of any kind to the fullest extent permitted by law. We do not warrant that the Service will be uninterrupted, error-free, or that AI output will be accurate.

To the fullest extent permitted by law, Proofly will not be liable for any indirect, incidental, or consequential damages, or for any loss of data or profits, arising from your use of the Service. Nothing in these Terms limits liability that cannot be limited under applicable law.

11. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate access if you violate these Terms or to protect the Service and its users. You can export your data before deleting your account.

12. Governing law

These Terms are governed by the laws of the State of Florida, United States, without regard to conflict-of-laws rules. Disputes will be resolved in the courts located there, unless applicable law requires otherwise.

13. Changes to these Terms

We may update these Terms from time to time. When we make material changes, we will update the effective date and, where appropriate, notify you in the app. Continuing to use the Service after changes take effect means you accept the updated Terms.
